FAQ — Frequently Asked Questions for Administrators

A collection of the questions that come up most often in practice.

Area of responsibility

Which people do I see? As an administrator (e.g. Company Admin) you see everyone in your company. There is no fixed "manager-team" assignment — to focus on a specific area, filter by department or use learning groups.

A person is missing entirely. They probably don't have an account yet. Invite them — see Managing users.

Do I see data from other companies? No. Your view ends at your company (or your company group). Only the platform team (Operator) has a platform-wide view.

Users and roles

How do I create new users? By invitation, individually or as a CSV bulk import — see Managing users.

How do I make someone a trainer? Set the role on the user in the Admin Portal. You can only assign roles that are lower than your own — see Roles and permissions.

Mandatory assignments

How do I assign a mandatory assignment to a person? Assigning mandatory assignments — step by step.

Can I assign an entire department at once? Yes, via the bulk assignment with the "By department" tab. Assigning mandatory assignments.

Can mandatory assignments recur automatically (e.g. annually)? Yes. When creating one, set the Repetition (weeks) field — e.g. 52 for annually. After completion the system automatically resets the assignment to the next date and notifies the person. This also works for bulk assignments.

Can I also assign a learning path instead of a single course? Yes — the target can be a course or a learning path. For a path, the mandatory courses are enrolled automatically.

What happens if someone misses the deadline? The assignment is marked as overdue and appears in the "already overdue" filter. The person can keep working; the deadline is not forcibly reset.

Learning groups

When is a learning group worthwhile? For onboarding waves, training cohorts, or recurring training groups. More in Managing learning groups.

What's the difference between a department and a learning group? Department = the organizational structure of the company. Learning group = an ad-hoc group for a learning initiative. You can use both in bulk actions and filters.

Progress and reporting

How do I see who is behind? In Administration → Mandatory assignments with the "already overdue" filter. More in Team progress.

Where do I find aggregated key figures? In Administration → Analytics — completion rates, quiz scores, activity, filterable by time period and department. See Analytics and reporting.

Where do I find data for a performance review? Via the Reports you can pull a learning history (courses, certificates, badges, streak) per person as a PDF.

The Excel export shows strange special characters. When opening in Excel, use "Data → From Text/CSV" instead of double-clicking — then UTF-8 is detected correctly.

Licenses

Who has which license? In the Admin Portal under Licenses → open the license → member list. See Licenses and access.

We have more people than license seats. Prioritize seats or request additional seats from the platform team / sales.

A person is leaving the company — should I free up the license seat? Yes, remove them from the license member list or archive the account. Existing certificates remain.

Sales and templates

How do I design invoice or email texts? Via the Document and email templates.

How do I set up a coupon code? Coupons are redeemed at checkout; creating them is currently handled by the platform team — contact your point of contact. See Marketplace and commerce.

Notifications for me

Which notifications do I get? - When a mandatory assignment you assigned becomes overdue (provided assigned_by is configured as a recipient) - On learning-group activity in groups you're a member of

In your personal notification settings you control channel and frequency.

Miscellaneous

A person complains about the AI grading in a course. That's a matter for the trainers / course creators. Refer them to the responsible trainer. Background: Quizzes and grading.

Can I create courses myself? That's the job of the trainers / course creators. If you create content yourself, you need the corresponding role — see Trainer docs.

A person says a course is "not unlocked". Possible reasons:

  • The course requires a license, the person has no seat → see Licenses and access
  • The course is in "by assignment only" mode, the person has no mandatory assignment or enrollment
  • The course has prerequisites the person doesn't meet
