Assigning Mandatory Assignments¶
Mandatory assignments are the most important steering tool in your role: you assign a course or learning path with a binding due date to a single person, a learning group, or an entire department. The system enrolls them automatically, sends reminders, and reports when someone falls behind. On request, an assignment repeats automatically (e.g. an annual mandatory training).
Assigning a single mandatory assignment¶
- In the main menu, go to Mandatory assignments.
- Click New.
- Fill in the fields:
- Target — choose a course or learning path. For a learning path, the person is automatically enrolled in all mandatory courses of the path; the assignment is only complete once the entire path is finished.
- Person — the person to look after (autocomplete search)
- Due date — a required field, at least a few days in the future
- Repetition (weeks) (optional) — e.g.
52for an annual repetition. After completion, the system automatically sets the assignment up again (see FAQ). - Note (optional) — shown to the person in the course player, e.g. "Please before the next team meeting"
- Configure reminders — see the next section.
- Save.

The person receives a notification within the platform and (depending on the setting) by email. They're automatically enrolled in the course; a separate enrollment isn't needed.
Configuring reminder emails¶
You can define any number of reminders per mandatory assignment. The default is one reminder to the person three days before the due date.
Per reminder you set:

Typical reminder setups:

Bulk assignment — many people at once¶
For quarterly trainings, onboarding waves, or entire departments, the bulk assignment dialog is worthwhile.
- In the mandatory assignments overview, click Bulk assignment.
- A four-step dialog:
- Step 1: Basic info — choose the course, due date, optional note
- Step 2: Select people via three tabs:
- Individually — pick people one by one from autocomplete
- By department — an entire department of your company
- By learning group — all members of an existing learning group
- Step 3: Reminders — as with a single assignment, applies identically to all created assignments
- Step 4: Preview — the count + list of all people who will receive the assignment
- Confirm — the system creates the mandatory assignments simultaneously.

Existing mandatory assignments (same course + same person) are skipped — no duplicate assignments. The result banner shows: created, skipped, and any failures.
Tracking the status¶
In the mandatory assignments overview you see, per assignment:

| Completed | Course finished successfully, minimum score reached |
| Overdue | The deadline has passed, the status is not "Completed" |
Default filter: show only open and overdue assignments — those need your attention.
Changing or withdrawing a mandatory assignment¶
When the deadline is no longer realistic or the assignment no longer fits organizationally:
- Click the mandatory assignment in the list.
- Edit — extend the deadline, adjust the note, reconfigure reminders.
- Or Withdraw — the assignment is deleted, the person receives a notification.
A completed mandatory assignment can no longer be withdrawn — the completion stays in the system for the personnel file.
Frequently asked questions¶
A person completed a course before the mandatory assignment. Do they get it twice? No — the system recognizes the existing enrollment. The mandatory assignment is created and the status immediately jumps to the current state of the existing enrollment. If the course was already completed, the mandatory assignment is fulfilled right away.
When exactly do the reminder emails go out? The system checks every few minutes which reminders are due. A "3 days before due date" reminder therefore normally arrives within the first 5–15 minutes after midnight of the corresponding day.
A person says they didn't receive a reminder. Possible reasons: - The email is in the spam folder - The email address in the profile is outdated - The person disabled email for "mandatory assignments" in their personal notification settings (this is possible; some people do it inadvertently)
In such cases, point out to the person that the mandatory assignment still has to be completed — the deadline stands.
An entire department should repeat a training regularly (annually). Can that happen automatically?
Yes. When creating it, set the Repetition (weeks) field — e.g. 52 for annually. After completion the system schedules the next date and automatically resets the assignment to "assigned" at the due time; the person is notified and the reminders run again. This also works for a bulk assignment to an entire department.
Can I still extend the deadline after sending? Yes — open the mandatory assignment → Edit → change the due date. The existing reminders are recalculated based on the new deadline.
A person doesn't appear in the selection at all. Then they probably don't have an account in your company yet. Invite them first (see Managing users) — after that they can be assigned. You can't assign people from other companies.
