Managing participants

Once your course is running, as a trainer you have an overview and tools for managing the people taking it — from enrollment requests through a progress overview to reminders.

Where to find the overview

  1. Go to Enrollments in the main menu — a list of everyone taking your courses.
  2. Set filters:
  3. by course (for a single course)
  4. by status (Enrolled / Completed / Dropped out)
  5. by time period

Alternatively from the course detail: your course → the Participants tab shows only people of that course.

What you see per person

Clicking a person opens the detail view: individual lessons with status, quiz attempts, number of notes, comments.

Enrolling a person manually

If you want to add a person to your course outside the normal enrollment mode:

  1. In the enrollment overview, click New enrollment.
  2. Select the person (search by name or email).
  3. Select the course.
  4. Optional: due date — turns the enrollment into a mandatory task (see Assigning mandatory tasks for details).
  5. Enroll.

The person receives a notification about the enrollment.

Enrolling several people at once

For larger groups, bulk enrollment is worthwhile:

  1. Click Bulk enrollment.
  2. Four steps:
  3. Basic info — course, optional due date
  4. Person selection — via list, department or learning group
  5. Reminders (if a mandatory task) — see Assigning mandatory tasks
  6. Preview — number + list of the people affected
  7. Confirm.

Already enrolled people are skipped automatically — no duplicate enrollments.

Handling enrollment requests

If your course has the mode On request (see Creating a course), you'll see all waiting requests in the Pending tab.

  1. Open the Pending tab.
  2. Per request:
  3. person + request date
  4. optional: the person's reason
  5. buttons Accept / Reject

On Accept: the person is enrolled and notified. On Reject: the person receives a notification with your optional reason.

Monitoring progress

In the participant overview (see above) and in more detail in Analytics → Course detail:

  • Who is behind? — sortable by "Last access" or "Days since enrollment"
  • Who isn't getting through? — low quiz scores in individual lessons
  • Where do learners drop off? — a lesson with a high drop-off rate

Sending reminders

For mandatory tasks, the system can send reminder emails automatically — you don't have to do anything manually. For normal enrollments without a deadline:

  • Direct message to a single person — via the person profile → Send message
  • Bulk reminder to all "inactive" learners — set a filter, Action → Send reminder (provided your plan offers this bulk function)
  • Via a learning group, a message to all members

Ending an enrollment

If a learner should leave the course for organizational reasons:

  1. Find the person in the participant overview.
  2. Click End enrollment.
  3. The status changes to Dropped out, no further access to the course.

For mandatory tasks: the mandatory-task assignment remains — only the assigning person (trainer or administrator) can withdraw it.

Frequently asked questions

A person complains that they can't access the course — but they're "enrolled". Check: - Is the course published (not a draft)? - Does the person still have a license (see the administrator guide Licenses and access)? - Are all prerequisites of the course met?

How do I see who was active in the course and for how long? In the person detail, an activity list shows when which lesson was worked on and for how long. Aggregated in Analytics → Course detail → Learning time.

Can learners remove themselves from the course? For free enrollments yes — under "My courses" they have the option "End enrollment". For mandatory tasks no — the assignment comes from you or an administrator.

A person should no longer see the course because they're leaving the company. The platform manager can archive the account — after that the person has no more access, but their previous data (completed lessons, certificates) remains in the system. If active access should be revoked immediately, manually End enrollment in your courses.

I also see learners of other trainers in the list. You see all enrollments in your courses — none of others'. If you also want to view others' courses, you need content-manager or admin rights.

Can I set up reminders for voluntary (non-mandatory) courses? Currently not automated. Workaround: create a learning group per course and regularly post motivating messages there.
